Who we are
Renfrew Family Dental is a dental clinic located at 2577 Renfrew Street, Vancouver, British Columbia, Canada, opening in early 2027. This policy explains how we collect, use, disclose, and protect personal information gathered through this website and through our communications with you. We handle personal information in accordance with British Columbia's Personal Information Protection Act (PIPA), Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), and Canada's Anti-Spam Legislation (CASL).
What we collect
We only collect information you choose to give us:
- Opening list signups: your email address, so we can let you know when booking opens and share occasional build-out updates.
- Contact form messages: your name, email address, and the message you send us.
- Contest entries: your name, email address, and suggestion when you enter a contest such as Name the Otter. We use your email to contact you about your entry and the contest (for example, if you win), and only add you to the opening list if you tick that box on the entry form.
- Phone number (optional, future): if you choose to share a mobile number for text-message updates, appointment reminders, or booking notifications once we introduce texting.
Please don't include health or medical details in website forms or emails. Once the clinic opens, health information will be collected separately through secure patient intake processes and protected under the additional rules that apply to health records in British Columbia.
How we use your information
- To email you when appointment booking opens.
- To send occasional clinic updates you signed up for, such as team introductions and opening details.
- To respond to messages you send us.
- To run contests you enter, including choosing and contacting the winner.
- With your consent, to send text messages in the future, such as appointment reminders, booking confirmations, and recall notices.
We do not sell, rent, or trade your personal information. We do not use it for advertising to third parties.
Consent and how to withdraw it
We only send commercial electronic messages, whether email or text, with your express consent, as required by CASL. You can withdraw consent at any time:
- Email: use the unsubscribe link included in every email, or write to us at hello@renfrewfamilydental.ca.
- Text messages (when available): reply STOP to any message to opt out, or HELP for assistance. Standard message and data rates from your carrier may apply.
Withdrawing consent to marketing or update messages will never affect your ability to become or remain a patient.
Service providers we use
A small number of service providers process information on our behalf:
- Formspree processes our website form submissions (opening list signups and contact messages).
- Vercel hosts this website.
- If we introduce email newsletters or text messaging, we will use reputable email and SMS providers to deliver those messages, and they will only be permitted to use your information to provide that service to us.
Some of these providers store information on servers located outside of Canada, including in the United States. When information is stored outside Canada, it may be subject to the laws of that jurisdiction.
How long we keep information
We keep opening-list email addresses until you unsubscribe or until the list is retired after the clinic opens. Contact-form messages are kept only as long as needed to respond and follow up. When information is no longer needed, we delete it.
Safeguards
We limit access to personal information to people who need it to run the clinic and this website, use reputable providers with industry-standard security, and transmit form submissions over encrypted connections (HTTPS).
Cookies and analytics
This website does not use advertising cookies or tracking pixels. Our hosting provider may collect standard, aggregated technical logs (such as page requests and approximate region) to keep the site running and secure.
Children
This website is intended for adults. We do not knowingly collect personal information from children through this site. Parents and guardians provide information on behalf of children when arranging care.
Your rights
You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it (subject to any legal retention requirements). To do so, email hello@renfrewfamilydental.ca. If you are not satisfied with our response, you may contact the Office of the Information and Privacy Commissioner for British Columbia.
Changes to this policy
We may update this policy from time to time, for example when we introduce text messaging or open the clinic. The date at the top of this page shows when it was last revised. Meaningful changes will be reflected here before they take effect.
